Sketch the usable space
Set the floor dimensions and add the house edge, patio, planting areas, and other fixed features. Use a background image if you have a useful diagram.
Give each moment a place
Arrange the ceremony area, guest tables, food service, and dancing. Decide which areas stay in use throughout the celebration.
Walk through the guest journey
Check how people will enter and move between the different areas. Share your plan with vendors and anyone helping set up.

Draw the space you can actually use
The lawn’s outer dimensions may include flower beds, paths, and areas where tables cannot go. Add those features to your drawing. Position furniture using measured spaces rather than assuming the entire footprint is available for seating.
Think about the change between moments
If the ceremony and dinner use the same area, decide where furniture goes during the transition. Two clearly named layouts can help your helpers understand the before and after. Include food service and the arrival area in both conversations.
Make setup a shared picture
A diagram gives vendors and family members a common reference. Name areas in plain language, such as Patio Drinks or Garden Ceremony. Before the day, walk the space with the plan and confirm the details with the people providing furniture, food, and any tent.
